GENERAL GUILDLINES

The following guidelines outline specific work practices that will contribute to a safe exhibition environment. It is the responsibility of the exhibitor, contractor and / or their agents to comply with the requirements of the Kuala Lumpur Convention Centre, Health and Safety requirements as well as other applicable Rules & Regulations and work practices.

1. Air Conditioning / Ventilation

Natural Ventilation is provided in the Premises of Exhibition Halls during Move-In and Move-Out Dates, Air-conditioning. will be provided to the Premises two hours prior to operational opening time until 1 hour after operational closing time. it will not be provided during move-in day.

2. Alterations to Furniture, Fitting and Artwork

The moving of furniture, fitting and artwork in public areas is subject to the prior written consent of the Kuala Lumpur Convention Centre.

3. Animals

Animals are not permitted access to the Kuala Lumpur Convention Centre.

4. Balloons

The cost of removing any balloons suspended or trapped below the ceiling or atrium shall be borne by the Exhibitor / Contractor.

5. Beverages and Food

Kuala Lumpur Convention Centre has an extensive range of food and beverage services available. No food and beverage supplier or caterer will be allowed to supply or cater food and beverage at the venue and in the premises.


Liquor must NOT be supplied, sold and/or distributed on the premises under any circumstances, Kuala Lumpur Conven tion Centre has a food and beverage outlet with seating in each Exhibition Hall. All food and beverage services are exclusively provided by Kuala Lumpur Convention Centre or a Kuala Lumpur Convention Centre appointed Food and Beverage Contractor.


Exhibitors wishing to provide give-away samples of products are required to forward all relevant information, at least one. (1) month prior to the event, for approval by the Kuala Lumpur Convention Centre Management. However, these must be limited to 3 fluid ounces/56ml of beverage and may only be distributed within the Exhibition Hall.


Sampling
The Exhibitor/Contractor must obtain written approval from Kuala Lumpur Convention Centre for the distribution of food and beverage sample products on the premises.


Preparation, distribution, sampling and disposal of food and beverage products and by products must comply with the general standards of health, safety, sanitation and any other specific requirements of Malaysian Environmental Health Department and Kuala Lumpur Convention Centre

6. Broadcasting / Telecasting

The Exhibitor/Contractor must obtain prior written approval of the Organizer and Kuala Lumpur Convention Centre for the broadcast and/or telecast of the Event or any portion of the Event for commercial or non commercial gain. Such written approval may be subjected to payment to the Organizer and Kuala Lumpur Convention Centre of a percentage of the revenue to be derived from such broadcast or telecast. All expenses associated with any such broadcast or telecast will be the responsibility of the Exhibitor/Contractor.


The venue has two roof decks located on Level 5 for the positioning of temporary satellite communication equipment. Each deck is accessible via a Volvo freight lift.

7. Copyright Fees; Licenses and Permits

The Exhibitor/Contractor shall be responsible for obtaining at its own cost and expense all appropriate permits for the playing of all music and use of performance materials protected by copyright, whether played live or pre-recorded. The Exhibitor/Contractor is responsible for obtaining all licenses, permits and approvals from the appropriate government departments, statutory board or competent authority as required for staging the Event. Copies of the licenses, permits and approvals obtained must be submitted to Kuala Lumpur Convention Centre twenty-one (21) days prior to the commencement of the Period.

8. Chewing Gum

Chewing gum and any other form of gum is strictly prohibited in the venue.

9. Care of Building

No attachment, fitting or detachment is to be made to the interior walls, floors, ceilings or pillars of he building, without prior knowledge or consent from the Kuala Lumpur Convention Centre management. This includes any equipment or device whatsoever which would be affixed to, or suspended from any structure of the building and includes attachments. that would damage any surface or structure in any part of the building.

10. Damages

The Exhibitor is responsible for any damage to the Premises caused by its employees, contractors, sub contractors, service providers and agents.
The cost of repair and replacement will be evaluated by Kuala Lumpur Convention Centre and charged to the Exhibitor/contractor or deducted from the Operational Bond.

11. Demonstration / Promotion Activities

All demonstrations or promotion activities must be carried out in accordance with the Health and Safety Legislation and must be confined to the limits of the exhibit booth. Sufficient space should be provided within the exhibit booth for the safety of persons watching demonstrations and promotions activities. Aisle must not be obstructed at any time. Exhibi tors are responsible for keeping the aisle near its booth free of congestion caused by the demonstrations and promotions activities.

All exhibits must, where they are not sufficiently stable as freestanding models, be properly secured to the floor or other structure. Floors on exhibit stands must be kept clear of articles or substances likely to cause persons to slip or trip. No. exhibits or modeling are allowed to conduct beyond exhibit booth area.

Demonstration, presentation or promotion activities, regardless in booths, stage or assigned area, are subjected to the following:

  • Must provide full details (type of equipment, its dimensions, weight, electrical/water requirements) to the Organizer before DEADLINE.
  • Precautions must be taken for protection of the public, and legible sign displaying “DANGEROUS”/”DO NOT TOUCH” to warn visitors to keep a safe distance.
  • Demonstration/presentation involve any moving and potentially hazardous equipment, displays or materials, must have hazard barriers to prevent accidentally injury to spectators. Such activities must always conduct by trained personnel who can stop the activities in the event of emergency.
  • All demonstration involved potentially hazardous by products, such as dust, fumes, sparks, flames, gas, fuel, kerosene, noxious material, inflammable and equipment using such inflammable materials as gas stoves, kerosene stove or electric stove, must be approve by the Organizer and Kuala Lumpur Convention Centre.

12. Deliveries

The Kuala Lumpur Convention Centre or the Organizer will not accept any freight deliveries/shipments or Cash on Delivery deliveries on behalf of the exhibitors, The Official Freight Handling Service Provider will handle any goods arriving prior to the commencement of the Period. Consignment of all shipments to be delivered to the Premises will be the responsibility of the Exhibitor/Contractor.

13. Exhibition Storage

The Kuala Lumpur Convention Centre does not provide storage facilities. All goods must be loaded on the agreed date: and cleared at the end of the event. Storage of empty cartoons or materials behind or beside exhibit is strictly prohibited, Exhibitors should design proper areas with adequate access within their booth or approach the Official Freight. Forwarder for storage. Kuala Lumpur Convention Centre or the Organizer will inspect all exhibits from time to time to ensure compliance.

14. Elevators

Under no circumstances are passenger elevators to be used for the mechanical transportation of any freight, equipment and or furniture. Hand carried items are permitted.

15. First Aid

The venue has a First Aid Room located on Level 3 of the Central Core. Kuala Lumpur Convention Centre security must be contacted to obtain access and use of the First Aid Room.

16. Parking

  1. General
  2. The published car parking fees, its terms and conditions and official operating hours will be displayed at the Car Park Entry of the Venue. The Venue Car Park contains 724 Car Park Spaces while an additional 5,000 under cover car park spaces are located within 200 metres of the venue at Kuala Lumpur City Centre.
  3. Service Provider
  4. On completion of the unloading of work tools and equipment, service providers must remove their vehicles from the loading dock and are advised to park in one of the public car parks available within Kuala Lumpur City Centre Precinct.

17. Passenger Drop Off

  1. Bus: Buses may drop off and pick up passengers at the Main Entrance off Jalan Pinang.
  2. Taxi: Taxi’s may drop off and pick up passengers at the Main Entrance off Jalan Pinang.

18. Promotion Material Distribution

The distribution of promotional materials such as brochures, catalogues, leaflets, pamphlets etc. is restricted to the exhibitor’s booth only. Distribution in all common and public areas within and surrounding the venue is not permitted without the prior written approval of the Organizer.

19. Security

Kuala Lumpur Convention Centre maintains a twenty-four (24) hours facility security surveillance team for the venue perimeter, common and public area security only

20. Smoking

Smoking is strictly prohibited in all enclosed Public spaces on the premises (as per the Smoking Regulation Act) inclusive of the Exhibition Halls, Foyers, Pre-Function Areas and Meeting Rooms as well as all restaurants with food service outlets.

21. Waste

All exhibits stands fittings and other materials brought onto the Premises for exhibition or other events, including materials scrapped and the Exhibitor shall remove debris left behind at the end of the period from the premises or any part of the venue
