GENERAL INFORMATION

1. Customs Clearance

Regardless of the product profile (exhibit’s nature) exhibits that to be imported into Malaysia is required to get endorse-ment from Malaysia Customs upon arrival at the Kuala Lumpur International Airport (KLIA)/Kuala Lumpur International Airport 2 (KLIA 2).

Our Official Freight Forwarder will also act as the Customs Agent for MIJF. Exhibitors are required to liaise with the organizer on shipment schedules, required documentation and other related matters.
Listed below are some of the services and charges for custom handling services:

Reminder:
    All exhibitors are requested to prepare packing list of exhibits with original invoices for customs declaration.
    The Packaging List & Invoice must be submitted to organizer at least 14 days prior to the exhibition date.
    Late surcharge of 50% on handling fees will be imposed for late order

3. Security

24-hour security guards will be arranged by the Organiser to secure the safety of exhibits within the venue throughout the show days. However, the Organiser is not responsible for ensuring that Exhibitors’ property are securely stored or are in safe custody during the Exhibition (including the move in and move out periods), Exhibitors should pay extra attention to their exhibits during move-in and move-out period. Exhibitors can hire their own security guards if necessary. All articles and exhibits shall solely be the responsibility of the exhibitor. Therefore, it is strongly recommended that showcase, cupboard, drawers, etc should be emptied contents packed after the closing of the show daily. Exhibitors should be responsible for the security of exhibits and personal belongings themselves and purchase necessary insurance for their staffs, exhibits and public safety. The Organiser undertakes no financial or legal responsibility for any injury of exhibitors. loss and damage of personal belongings and exhibits.
 
Insurance Liability and Risks

Every reasonable precaution will be taken by the Organiser to ensure the security and safety of the Hall and the adjacent area off-hours. However the show Organiser will not accept liability and will not be under any liability to Exhibitors or their employees or agents in respect of any direct or indirect damages, loss, theft or damage to any exhibit, person or property arising out of or in any way connected with the Exhibition. Therefore, Exhibitors must insure their exhibits against such loss or theft and damage, including risk of fire throughout all stages from the time their exhibits leave their based up to the final disposal after the exhibition.

4. Storage

The Organizer will provide Strong Room for hand-carry valuable exhibits on overnight storage. Strong Room will be guarding by armed security guard and facilitated with security alarm system. Exhibitors must seal their exhibits before placing their exhibits in the Strong Room. Arrangement of deposit and withdrawal must be solely made with the Organizer only.

Note:
* Each company must assign a maximum of 2 authorized persons to withdraw or deposit valuable exhibits.
Deposit or withdrawal of exhibits should be handled by authorized personnel only with proven credentials issued by the Organizer.

* All valuable exhibits stored in the Security Room at any time are at exhibitors’ own risk.
Exhibitors who utilize the strong room facilities should bear all the risks including loss & damage of their exhibit.

6. Immigration Entry/Exit Control

All visitors are required to complete a Disembarkation Card which is given out on all inbound Malaysian Airlines flights.

In addition, a Travelers Declaration Form (TDF) must be filled in by all arriving and departing travelers (including children) regardless of the amount of currency carried. Permitted currency limits are as follows:

    • A resident and non-resident is permitted to carry into and out of Malaysia, ringgit notes not exceeding RM 1,000 per person.
    • A resident is permitted to carry out of Malaysia, foreign currency notes including travelers’ cheques, not exceeding RM 10,000 equivalents per person.
    • A non-resident is permitted to carry out of Malaysia, foreign currency notes including travelers’ cheques, not exceeding the amount brought in.

The TDF form is given out on all inbound Malaysian Airlines’ flights and at check-in counters. It should be handed to the immigrations officer together with the disembarkation card and passport.

7. Kuala Lumpur Capital of Malaysia

Kuala Lumpur is situated midway along the west coast of Peninsular Malaysia, at the confluence of the Klang and Gombak rivers. It is approximately 35 km from the coast and sits at the centre of the Peninsula’s extensive and modern transportation network. Kuala Lumpur is easily the largest city in the nation, possessing a population of over one and a half million people drawn from all of Malaysia’s many ethnic groups.

8. Climate & Local Time

Typically equatorial with the range of 23° C-37°C; Malaysian time is 8 hours ahead of Greenwich Mean Time (GMT).

9. Currency & Banking

The Malaysia Ringgit (RM) is issued in notes of RM100, RM50, RM20, RM10, RM5, RM2, and RM1, while coins are available in 50, 20, 10, and 5 sen denominations.
Credit cards such as VISA, MasterCard, American Express, and UnionPay are widely accepted in urban areas.
In addition, e-wallet payments are increasingly popular, with options including Touch ‘n Go eWallet, GrabPay, ShopeePay, MAE by Maybank, and Boost eWallet available at most retail outlets and online platforms.

Banking hours (except for states of Kedah, Kelantan and Terengganu) are from 9.30 am – 4.30pm on Monday to Friday; closed on Saturday.

All commercial banks are authorized foreign exchange dealers, and licensed money changers are found in urban centers, key entry/exit points and shopping complexes.
Foreign currency and travelers’ cheque can also be exchanged at major hotel for nominal fee.

10. Accommodation & Transportation

Taxis are available in all major cities across Malaysia; however, most residents and visitors prefer using ride-hailing services such as Grab, AirAsia Ride, and inDrive, which provide transparent fares and extensive nationwide coverage.
In certain areas, traditional taxis may not operate with meters; therefore, app-based rides are recommended for convenience and reliability.


A late-night surcharge generally applies between 12:00 a.m. and 6:00 a.m.
International car rental companies, including Hertz, Avis, and Europcar, also operate throughout Malaysia, offering both short- and long-term hire options.

11. Exhibition Badges

i. Exhibitor Badges

Exhibitor Badges will be provided to Exhibitors at no cost up to a certain quantity according to the entitlement (based on size of booth) of each exhibitor. Exhibitor Badges will be issued strictly to booth personnel, staff manning the booth only and should be worn at all times during the exhibition period. No other personnel should be wearing the Exhibitor Badges, the Organiser reserves the right to confiscate any misused badges. Exhibitors may register in advance, using Exhibitor registration form.

ii. Visitor Badges

All visitors must complete an official registration form before registering for Visitor Badges. Registered identity must match with their Personal Identity Certificate (I/C). Visitor must wear visitor badges at all times during the visiting period. Visitors may be required to show Identity Certificate when deemed necessary.

iii. Contractor Badges

For the purpose of construction and the moving of exhibits, temporary contractor badges will be issued to those approved unofficial contractors and their workmen for entry to the Exhibition Halls during build-up and tear-down period only. Where a contractor has a valid reason to be present during the Exhibition period (e.g., Maintenance or remedial purposes) a limited number of special badges will be issued upon request.

12. Stand Cleaning

Organiser will be responsible for daily cleaning of stand carpets and gangways during the exhibition period. During build-up and tear down period, exhibitors are responsible for the removal of their own materials and rubbish. Storage of empty boxes or packaging materials inside the hall is strictly prohibited at all times. The exhibitor is responsible for maintaining his own booth in a tidy condition at all times.

13. Payment Terms & Conditions

Payment schedule for Shell Scheme Stand or for Raw Space only as the case shall be in accordance with the conditions specified in the Contract Form.
Exhibitors will not be allowed to occupy Space/Stands until full payment including all deposits have been received by the Organiser.
All exhibitors are required to clear all charges incurred during the exhibition, on-site order of furniture, facilities and services in advance.
